This policy explains what information SMARTA Ortho Solutions, LLC collects from you, why we collect it, and what we do with it. It covers smartaorthosolutions.com and our online courses. We are an education company for dental professionals. We do not sell your information to anyone.
1. Information you give us
When you create an account, enroll in a course, or fill out a form on our site, we collect your name, email address, practice name, professional credentials, and any other details you choose to enter. For courses that include Align template training, we also ask for your Align clinic ID and doctor ID.
When you buy a course, we collect billing information. Card numbers go directly to our payment processor. We never see or store your full card number.
When you contact us or post in a course discussion, we keep what you send.
2. Information we collect automatically
When you visit our site we collect your IP address, browser type, device type, pages viewed, time spent, and the site you came from.
Inside a course we collect your progress, lessons completed, quiz results, and completion dates. We need this to issue continuing education credit.
3. Cookies and analytics
We use cookies to keep you logged in and to remember your preferences. The course platform will not work properly without them.
We use Google Analytics to understand how people find and use our site. Google collects this information under its own privacy policy. You can opt out using Google's browser add-on.
You can block or delete cookies in your browser settings. Some parts of the site may stop working if you do.
4. How we use your information
To give you access to courses you bought and to run your account.
To issue and report continuing education credit.
To answer your questions and provide support.
To send you course updates, announcements about new courses, event invitations, and marketing email.
To improve our courses and understand which material is working.
To keep records we are required to keep, and to protect our rights.
5. Who we share it with
We use outside companies to run the business. Each one only gets what it needs.
Thinkific hosts our courses and your account.
HubSpot holds our contact records and sends our email.
Google Analytics provides our website statistics.
Our payment processor handles transactions and stores your billing details.
The Academy of General Dentistry receives course completion records when you earn PACE credit.
We may also share information if the law requires it, if we need to protect our rights, or if the business is sold or merged.
We do not sell your personal information. We do not rent it. We do not trade it.
6. Information shared with Align Technology
Some of our courses include training for an Invisalign Collaborative Plan template developed by Align Technology, Inc. If you enroll in one of those courses, we ask for your Align clinic ID and doctor ID. We give those IDs and your course completion status to Align. Align uses them to enable the template in your Invisalign account.
We report completions to Align on a regular schedule. We also report course participation and completion figures.
We do not send Align your name, your email address, or your payment information. The IDs we send are ones Align already issued to you.
Align may use information about how the template is adopted and used in a combined, anonymous form. That use is governed by Align's own privacy policy and is outside our control.
If you enroll only in courses that do not involve an Align template, we share nothing with Align.
Align Technology is not a service provider acting on our behalf. It is a separate company with its own privacy practices. We are not responsible for what Align does with information once we provide it.
7. Patient information does not belong here
Our courses are for dental professionals and are not designed to hold patient information.
If a course has a discussion area, do not post anything that could identify a patient. Remove names, dates of birth, chart numbers, and any identifying detail from images before you upload them. Do not upload full-face photographs of patients.
We are not your business associate under HIPAA and our platforms are not configured for protected health information. You are responsible for what you post. We may remove any post that appears to contain patient information.
8. Course discussion areas
Anything you post in a course discussion can be seen by other enrolled doctors and by us. Treat it as a professional, semi-public space. Do not post anything you would not want another doctor to read.
9. Marketing email
If you buy a course or fill out a form, we may send you marketing email. Every marketing email has an unsubscribe link. You can also email us and we will remove you.
If you unsubscribe from marketing, we will still send you email about your account and courses you are enrolled in.
10. How long we keep your information
We keep your account and course records for as long as your account is open.
We keep continuing education records for as long as our accreditation requires.
We keep billing records for as long as tax and accounting rules require.
If you close your account we delete what we no longer need to keep.
11. Your choices
You can ask us to show you what information we hold about you.
You can ask us to correct anything that is wrong.
You can ask us to delete your information. We may have to keep continuing education and billing records even after we delete the rest.
You can unsubscribe from marketing email at any time.
To make any of these requests, email [email protected]. We will respond within 45 days. We will not treat you differently for making a request.
12. Security
We use platforms that encrypt data in transit and at rest, and we limit who on our side can see your information. No system is perfectly secure. We cannot guarantee that your information will never be accessed without permission.
13. If you are outside the United States
Our site and our service providers are based in the United States. If you enroll from another country, your information will be transferred to and stored in the United States. Privacy laws in the United States may be different from the laws where you live. By enrolling you agree to that transfer.
14. Children
Our courses are for licensed dental professionals and dental students. They are not directed to anyone under 18. We do not knowingly collect information from children.
15. Changes to this policy
We may update this policy. The current version is always posted on this page. The date at the top shows when it last changed. If we make a significant change we will tell enrolled doctors by email.
